Six flows in twenty weeks

Pastors and ministry workers share one workspace — six ministry flows, not six products. Weeks 1–5 shipped the platform, Sermon Flow, and Knowledge Flow through source inspection (v0.1.0–v0.5.0), ahead of the original plan. Week 6 continues Knowledge Flow. The rest of the twenty weeks ship Learning, Volunteer, Asset, and Ministry Flow on the same platform.

Roadmap

Platform, then all six flows

Weeks 1–5 shipped the platform, Sermon Flow, and Knowledge Flow through source inspection. The remaining weeks continue Knowledge, then Learning, Volunteer, Asset, and Ministry Flow.

Week 1 · v0.1.0

Stand up the Kairos platform

Shared components, tenant-aware modules, and an extensible foundation every ministry flow can build on.

The platform is the core: identity, organizations, roles, and a dashboard that tailors what a pastor sees. The web app is the daily workspace. Ministry flows plug in on top — they are not a second product.

  • Organization selection and membership loaded from the database on every request.
  • Shared components used across every module.
  • A dashboard for enabled modules, recent activity, outstanding tasks, and AI-generated insights.
  • A comprehensive web workspace first; a mobile app after the platform is stable.

Turn sermons and media into reusable ministry content

Import a channel, review the library, then walk a sermon from video to transcript, small-group guide, and a seven-day study plan.

  • Start from the Sermon Flow dashboard, not a blank page.
  • Import a channel, then open videos from the library.
  • Review the transcript, then shape a small-group guide and a 7-day study plan.

Sermon Flow is the first ministry module on the platform. It turns Sunday media into study tools the rest of the church can use during the week.

  • Channel import into the organization library.
  • Video detail, transcript review, and derived study artifacts.
  • Small-group guides and a seven-day study plan from the same sermon.

Create an organizational knowledge base and AI assistant

Upload sources, inspect them, ask Kairos, read insights, and keep settings in one hub.

In this flow you can:

  • Upload a source into the church knowledge base.
  • Open source detail, then ask Kairos against what you have stored.
  • Read insights and adjust settings without leaving Knowledge Flow.

  • Knowledge Hub, upload, and source detail.
  • Ask Kairos against the organization corpus.
  • Insights and settings for how the assistant uses sources.

Learning Flow
Weeks 9–11
Learning Flow
Weeks 9–11

Turn teaching into a path the congregation can walk

Courses, assignments, and certificates after the service ends — pastors still shape what people learn.

In this flow you can:

  • Build a syllabus from teaching the church already owns.
  • Enroll learners and grade assignments in the tenant workspace.
  • Issue certificates when a cohort finishes the path.

Issue certificates

Learning Flow sits on the same platform as Sermon Flow. A church builds a syllabus from what it already teaches, enrolls a cohort, and issues certificates without a second login.

  • Course outline and module list in the organization workspace.
  • Enrollment and assignment review for a church cohort.
  • Certificate templates that stay inside the tenant.

Volunteer Flow
Weeks 12–14
Volunteer Flow
Weeks 12–14

Match people to the door before Sunday morning

Serving needs, suggested matches, confirmed shifts, and current training — without a separate spreadsheet.

In this flow you can:

  • List serving needs for a Sunday or midweek gathering.
  • See suggested matches and confirm shifts.
  • Keep training current beside the roster, not in a side file.
List serving needs
Match volunteers
Confirm shifts
Track training

Volunteer Flow keeps the greeting team and every other serving role on the same workspace pastors already use. Matching is a suggestion; the church still confirms who stands at the door.

  • Role posts scoped to the organization.
  • Match suggestions and shift confirmation.
  • Training status visible next to the serving roster.

Asset Flow
Weeks 15–16
Asset Flow
Weeks 15–16

Book the hall without a double-booked Saturday

Rooms, vans, and equipment with bookings and maintenance, so ministry is not blocked by a conflict.

In this flow you can:

  • Catalog rooms and equipment the church already owns.
  • Hold a booking and see conflicts before Saturday.
  • Log maintenance tickets beside the reservation.

Flag conflicts
Log maintenance

Asset Flow is the facilities calendar on the same platform. Staff list rooms and gear, hold a reservation, see conflicts, and log maintenance without leaving the tenant workspace.

  • Asset catalog scoped to the organization.
  • Bookings with conflict visibility.
  • Maintenance tickets next to the calendar.

Weeks 17–20

Care, prayer, and the calendar — then six-flow integration

Visit notes, prayer, and gatherings sit beside the rest of the week. Weeks 17–20 are Ministry Flow and the integration pass across all six flows.

In this flow you can:

  • Keep visit notes and prayer needs in the same workspace as Sunday media.
  • Plan midweek gatherings beside the rest of the church calendar.
  • Walk all six flows on one platform and re-verify the locks.
Prep the outline
Schedule visits
Log prayer needs
Integrate six flows

Ministry Flow is the pastoral week: outline prep, visits, prayer, and midweek gatherings. The last week of the plan is not a seventh product — it is one login, one chrome, and one tenancy model across Platform, Sermon, Knowledge, Learning, Volunteer, Asset, and Ministry Flow.

  • Pastoral care notes and prayer lists in the tenant workspace.
  • Calendar for visits and midweek gatherings.
  • Cross-flow check: one login, one chrome, one tenancy model.

Weekly status

Twenty weeks to all six ministry flows.

Weeks 1–5 shipped ahead of the original plan (v0.1.0–v0.5.0), closing Sermon Flow and opening Knowledge Flow through source inspection. Weeks 6–8 continue Knowledge Flow. Weeks 9–16 ship Learning, Volunteer, and Asset Flow. Weeks 17–20 ship Ministry Flow and the six-flow integration.

Ask Kairos against what this church has stored

Planning
  • Ask Kairos uses the organization corpus — the assistant is a study partner, not a preacher.
  • Discernment stays with the human.
  • Ask lives in the same module as hub and upload, not a separate assistant product.
Milestone

A pastor can ask Kairos using only what this church has stored.

Delivery
  • Ask Kairos surface in Knowledge Flow.
  • Answers grounded in organization sources.
  • Conversation stays inside the tenant workspace.
